We operate under PIPEDA and follow all provincial regulations here in British Columbia. Your trust means everything to us, so let's break down exactly how we handle your data.
Personal Info You Give Us
When you sign up or interact with us, we'll ask for stuff like:
- Your name, email, phone number, and home address
 - Date of birth (gotta make sure you're old enough to lift heavy stuff)
 - Emergency contact details - really important for those intense Olympic lifting sessions
 - Payment info and billing details
 - Photo ID for membership verification
 
Health & Fitness Data
Since we're dealing with high-intensity training, we need to know:
- Medical conditions or injuries that might affect your training
 - Fitness goals and current fitness level
 - Body composition metrics if you're doing personal training
 - Workout performance data and progress tracking
 - Nutrition info if you're working with our coaches
 
Automatic Collection
Our systems automatically grab some technical stuff:

 - Pages you visit and how long you hang around

Running the Gym
Managing your membership, processing payments, scheduling classes, and keeping track of who's accessing the facility. Basic operational stuff that keeps the doors open.
Training & Coaching
Your health and fitness data helps our coaches design programs that actually work for YOU. We'll track your progress, adjust your workouts, and make sure you're hitting those goals safely.
Communication
Sending you class schedules, membership updates, workout tips, and yeah - occasionally letting you know about new programs or special events. You can opt out of the marketing stuff anytime.
Safety & Security
We've got cameras in the gym (not in changing rooms or bathrooms, obviously). This footage helps keep everyone safe and protects our equipment. Medical info helps us respond properly in emergencies.
Improving Our Services
Analyzing what classes are popular, when the gym's busiest, and what equipment gets the most use helps us make better decisions about scheduling and investments.
We don't sell or rent your personal info to anyone. Period. But there are a few situations where we might need to share it:
Service Providers
Companies that help us run things - like our payment processor, email service, and booking system. They only get what they need to do their job and they're contractually bound to protect your data.
Legal Requirements
If the law says we gotta hand over info, we will. This includes court orders, subpoenas, or legitimate law enforcement requests. We'll push back if we think a request is overreaching though.
Emergency Situations
If there's a medical emergency, we'll share relevant health info with paramedics or your emergency contacts. Your safety comes first.
Business Transfers
If we ever sell the business or merge with another company, your data would be part of that transfer. The new owners would still have to follow this privacy policy though.

Access Your Data
You can ask to see what personal info we have on you. We'll give you a copy within 30 days. There might be a small admin fee if the request is complex, but we'll let you know upfront.
Correct Your Data
Spot something wrong? Let us know and we'll fix it. You can update most stuff yourself through your member portal too.
Delete Your Data
Want us to delete your info? We'll do it, though we might need to keep some stuff for legal or accounting reasons (like transaction records). Once your membership's done and any legal retention periods are up, we'll wipe the rest.
Opt Out of Marketing
Hit that unsubscribe link in any marketing email, or just tell us you don't want marketing stuff. We'll still need to send you important account-related messages though.
Withdraw Consent
If you've given us permission for something specific, you can take it back anytime. Just know this might affect what services we can provide.

We work with some third-party companies to keep things running smoothly:
- Payment processors - They handle credit card transactions securely. We never see or store your full card details.
 - Email service provider - Manages our email communications and newsletters.
 - Booking system - Handles class scheduling and reservations.
 - Analytics tools - Help us understand how people use our website.

These companies have their own privacy policies, and we make sure they meet our standards before working with them. But once you click through to their sites or services, their rules apply.
Our website might have links to other sites too - supplement companies, fitness blogs, whatever. We're not responsible for their privacy practices, so check their policies if you're concerned.
Our programs are designed for adults, and we don't knowingly collect personal information from anyone under 16 without parental consent.
If you're under 16 and wanna join EmberVeil, your parent or legal guardian needs to sign up for you and provide consent. They'll be responsible for managing your account and we'll communicate with them about your membership.
For teens aged 16-18, we'll still want parental consent for our more intense programs like Olympic weightlifting. Safety first, y'know?
If we find out we've accidentally collected info from a kid without proper consent, we'll delete it immediately. Parents, if you think we've got info about your child that we shouldn't have, let us know right away.
We might update this privacy policy from time to time - new laws come out, we add new services, stuff changes. When we make updates, we'll:
- Post the new policy on this page with an updated "last modified" date
 - Send you an email if the changes are significant
 - Maybe post a notice at the gym if it's something really important
 
If you keep using our services after we've updated the policy, that means you're cool with the changes. If you're NOT cool with them, you can close your account - though we'd hate to see you go.
We'll keep old versions of this policy archived if you ever wanna see what changed. Just ask and we'll send you previous versions.
